How to choose the right chairs and tables for your event

Choosing chairs and tables does not start with the look. It starts with a simple question: what will your guests be doing?
Will they sit for hours over dinner and conversation, or move between refreshments, photos and greetings?

Decide the type of event

  • Seated dinner: every guest needs a seat and a comfortable table.
  • Buffet: you need serving tables, and small tables for guests.
  • Reception and refreshments: light seating and room to move are enough.

Then write a short list: the number of guests, the type of seating, and how many tables you think you need. Check it against the space before you order.

Choose the chairs

  • Count one seat per guest, and add a few spare ones.
  • If the event is long, pick comfortable chairs. Looks alone are not enough.
  • Clear chairs suit modern, light styling.
  • Gold and royal-style chairs suit formal events and weddings.
  • Check that the chairs are stable and hold up to long sitting.

Choose the tables

  • Round table: guests face each other and talk easily.
  • Long table: looks tidy and suits families and formal dinners.
  • Small table: useful for coffee and sweets beside the seating.
  • Buffet table: keep it away from the entrance path, and check it holds all the serving dishes.

Mind the size too. A table that is too big restricts movement, and one that is too small cannot hold the plates.

Give every guest their own room

Each guest needs enough space to sit down and get up without touching the person beside them.
When space is tight, use fewer tables rather than squeezing in more chairs.
A comfortable room leaves a better impression than a crowded one.

Match the colours and materials

Keep table linen, chairs and flowers in one colour family.
If the venue is plain, dressing the table changes its look a lot.
Too many colours distract the eye and make the space feel busy.

Compare with photos before you decide

Ask for photos of the pieces, and do not rely on their names alone.
The same chair can look different depending on the colour and lighting of the venue.
A photo gives you a clearer picture before you book.

Check the venue before it is set up

  • Leave enough room between tables for guests and for the people serving them.
  • Seat older guests near the entrance or near the service area.
  • Confirm when the pieces will arrive and how long setup takes, before the event starts.
  • Think about where extra tables could go if more guests come.
